Solviva Homeo Clinic (“we”, “us”) runs this website and the clinic at 237, 1st Floor, CP Square, TDI Airport Road, Sector 117, Mohali, Punjab 140301. This policy explains what personal data we collect, why we collect it, who we share it with, and what you can ask us to do with it.

We handle health information. We treat it as confidential medical information, and the care we take with it does not depend on which page of this site you gave it to us on.

What we collect

Information you give us

  • Contact details: your name, email address and phone number, when you send an enquiry, book an appointment, message us on WhatsApp or subscribe to our newsletter.
  • Appointment details: the date, time and type of consultation you book, and anything you write in the booking form.
  • Health information: your symptoms, medical history, current medicines, investigations, diet and lifestyle, and anything else you tell us during case-taking. This is sensitive information and we collect only what we need in order to treat you.
  • Correspondence: messages you send us by form, email, phone or WhatsApp, and our replies.
  • Consent records: where you have agreed to us publishing an anonymised case study or using a testimonial.

Information collected automatically

  • Technical data: your IP address, browser and device type, the pages you visit and the time of your visit, recorded by our web server and by the tools that keep the site secure.
  • Cookies: small files stored by your browser. See Cookies below.

We do not ask for, and you should not send us, card numbers or bank credentials by email, WhatsApp or through a form on this site.

Why we use it

  • To answer your enquiry and to arrange, confirm or reschedule your appointment.
  • To take your case, prescribe, dispense medicines and follow up, including reminding you about reviews.
  • To keep the clinical records a practitioner is required to keep.
  • To take payment for consultations and treatment plans, and to keep the accounting records required by law.
  • To send you our newsletter, if you asked for it. Every newsletter carries a way to unsubscribe.
  • To keep the website working, secure and free of spam, and to understand in aggregate which pages are useful.
  • To meet a legal, tax or regulatory obligation, or to establish or defend a legal claim.

We process your personal data with your consent and for the purposes set out above. We do not sell your personal data, and we do not use your health information for advertising.

Who we share it with

Your health information stays within the clinic. It is seen by the treating practitioner and by the clinic staff who need it to book you in, dispense your medicines and follow up with you. We share personal data outside the clinic only in these situations:

  • Service providers who run parts of this website for us: our web host, our email provider and our appointment scheduling tool. They may process the contact and appointment details you enter, and are permitted to use them only to provide that service to us.
  • Messaging platforms: if you contact us on WhatsApp, that conversation is also handled by the platform, under its own privacy policy.
  • Couriers, where medicines are dispatched to you, with your name, address and phone number only.
  • Professional advisers: our accountant or lawyer, where they need it in order to advise us.
  • Authorities: where we are required to disclose information by law, by a court, or to protect someone from serious harm.

Some of these providers store data on servers outside India. Where that happens, we use providers that offer appropriate safeguards for the information they hold.

We publish a case study or a testimonial only with your consent, and only in a form that does not identify you unless you have specifically agreed to be identified. You can withdraw that consent at any time and we will take the piece down.

Cookies

This site uses cookies that are necessary for it to work: keeping your session and protecting the forms against abuse. Our appointment scheduling widget and any embedded video set their own cookies when you use them.

Most browsers let you block or delete cookies in their settings. Blocking the necessary ones may stop the booking form or the contact form from working.

How long we keep it

  • Clinical records: for as long as you are our patient, and for the period a practitioner is required to retain records afterwards.
  • Enquiries that did not become appointments: up to two years, then deleted.
  • Accounting records: for the period required by Indian tax law.
  • Newsletter subscriptions: until you unsubscribe.
  • Website logs: a short period, for security and troubleshooting.

How we protect it

The site is served over HTTPS. Access to clinical records is restricted to the people who need it, accounts are protected by passwords that are not shared, and our systems are kept up to date. No system is perfectly secure, but if a breach ever affects your personal data we will tell you, and the relevant authority, as the law requires.

Your rights

Under the Digital Personal Data Protection Act, 2023 you may ask us to:

  • tell you what personal data of yours we hold and what we have done with it;
  • correct anything that is wrong, incomplete or out of date;
  • erase personal data we no longer need, noting that we must keep clinical and accounting records for their retention periods;
  • withdraw a consent you gave us, including consent to marketing or to a published case study;
  • nominate someone to exercise these rights on your behalf if you are unable to.

Write to us at contact@solvivahomeo.com and we will respond. We may need to confirm who you are before acting on a request about health information.

Grievances

If you are unhappy with how we have handled your personal data, contact us first at contact@solvivahomeo.com, marking your message for the attention of our Grievance Officer. We will acknowledge your complaint and work to resolve it. If you remain unsatisfied, you may escalate the matter to the Data Protection Board of India.

Children

We treat children, and we do so on the instruction of a parent or guardian. Where a patient is under 18, the parent or guardian gives consent, provides the history and receives the correspondence. We do not knowingly collect personal data directly from a child through this website.

This policy covers this website only. Links from here to other sites are provided for convenience; those sites have their own privacy policies and we are not responsible for them.

Changes to this policy

We update this policy when our practices change. The date at the top shows when it was last revised. Where a change is significant, we will make that clear on the site.
